Refund & Cancellation Policy

This policy describes how cancellations and refunds are handled for OrbiOne educational services and digital materials.

1) Scope

This policy applies to course tracks, workshops, and any related digital materials provided by OrbiOne, unless a separate written agreement states otherwise.

2) General principle

Refund eligibility depends on the type of service, whether sessions have been delivered, and whether digital materials have been provided. Some services are time-based and require scheduling and preparation.

3) Cancellations before start

  • Before the first scheduled session: cancellation requests may be eligible for a refund, minus any non-recoverable processing or preparation costs, where applicable.
  • Scheduling reservation: if a time slot has been reserved and preparation has started, a partial deduction may apply to cover administrative work.

4) After start (sessions delivered)

If sessions have started, refund requests are evaluated based on the portion of services already delivered and operational commitments. For example, completed sessions and delivered materials generally reduce refundable amounts.

5) Digital materials and access

Some course components include digital worksheets, templates, and downloadable materials. Once digital materials are delivered or access is provided, refunds may be limited, depending on applicable law and the nature of the digital content.

6) Exceptions

  • Refunds may be declined in cases of policy abuse, fraud, or repeated charge disputes.
  • Refunds may be limited if the primary reason is non-attendance after scheduling confirmations.
  • Special group or team programs may have custom cancellation terms agreed in writing.

7) How to request a refund

To request a refund or cancellation, contact us and include:

  • Your name and the email used for booking
  • The program name / track type
  • The reason for the request (optional but helpful)

8) Processing time

We review requests during business hours (JST). If a refund is approved, the timing of funds returning to you depends on the payment method and provider processing times.
